MEETING MINUTES

Attendees: Ricky Lester, President, Brian Grim, Vice President, Emily Braden,
Secretary, Brad Scott, Treasurer, and Bob Landriault, Director, in-person and
virtually. Rebecca Bray was present and acted as Recording Secretary.
Shareholders were present in-person and virtually.

Rebecca Bray called the meeting to order at 9:03AM.
Approval of the Meeting Minutes: Ricky Lester motioned, Emily Braden seconded, to
approve the minutes of the November 4, 2021 Budget and Board Meeting, and the
January 13, 2022 Organizational Meeting, as written. Motion passed unanimously.
Manager’s Report: Manager’s Report is attached.

Unfinished Business:

1. Clubhouse vote: Assigned to Bob Landriault and Ricky Lester. Manager to
confirm proxy vote with Attorney Ruggieri and arrange a conference call at the end of
February or early March.

2. Installation of lower power lights on existing/new streetlights: Assigned to Bob
Landriault, who has already been working with Duke Energy. Bob reported that there was
a price reduction and the pole at the end of Broken Woods was eliminated. Cost initially
was $11,700 and is now $8,000. Bob will also work on obtaining a diffuser cover for the
existing streetlights.

3. Property Improvements/Fence Guidelines: Assigned to Ricky Lester. Current
guidelines are no fences over 36” high, but no height limit on plants. Ricky Lester suggests
allowing fences, but limiting type and height. Emily Braden agrees with Ricky Lester.

4. Reserve Analysis with GAB Robbins: Assigned to Rebecca Bray to obtain and
updated proposal. Pool resurfaced and road work completed. A/C in Laundry Room will
need replacement soon.

5. Stock Certificate Update: Assigned to Rebecca Bray to obtain update from
Ruggieri Law Firm to get ledger from Clayton & McCulloh.

6. Website Database: Assigned to Ricky Lester. Ricky Lester suggests a database,
and Bob Landriault stated that Sentry maintains the database for the Cooperative. Bob
Landriault recommends that Ricky Lester reach out to Matt at Webshark.

7. Reserve for new Utility Vehicle: Assigned to Brad Scott to review quotes.

8. Additional Cameras: Assigned to Ricky Lester. Motion by Ricky Lester to
approve spending $397 on new camera. Brad Scott seconds the motion. All in favor,
motion passes unanimously.

9. Updating Entrance Cosmetics, new landscaping, refresh RR sign: Assigned to
Brad Scott to obtain quotes, and volunteers for new mulch, pressure wash the sign, paint it
and add new landscaping. Bob Landriult confirmed that funds have been spent on the
road, pool and shed and that a plan should be made for the entrance. Emily Braden
recommended rubber mulch at the pool and laundry room.

10. Property ownership at dead end: Assigned to Rebecca Bray to send to Ruggieri
Law Firm. Some shareholders claim that Fawn Ridge owns the land.

11. Is AAA Road Repair Contract satisfied after stop bars and signs are painted:
Assigned to Ricky Lester to contact Cletus from AAA Asphalt.

12. Install blue reflectors to indicate Fire Hydrants: Assigned to Brad Scott, who
confirmed that the reflectors and W’s were being delivered today.

Owners Forum:

Shareholder questions: What are we paying Deer Creek for? Bob Landriault
explained that the agreement was for the road and clubhouse use.

Shareholders volunteered to paint the tables at the pool.

Action Items:
Manager to contact Ruggieri Law Firm regarding the clubhouse vote and schedule a
conference call.

Manager to obtain a quote to update the Reserve Study from GAB Robbins.
Manager to work with Ruggieri Law Firm to obtain ledger of share certificates from Clayton
& McCulloh.

Adjournment: Emily Braden motions; Brian Grim seconds, to adjourn the meeting at
11:16AM. Motion passed unanimously.
